Clubhouse Hire Terms & Conditions

I acknowledge and accept that bookings made are subject to the below terms and conditions and that I and my party agree to abide by these terms.

1) A provisional booking can be held for a period not exceeding 1 week.

2) Once a booking has been agreed upon and signed for, the deposit of £150 must be paid immediately. Deposits are refundable up to 6 weeks before the booking date, if a booking is made with less than 6 weeks to the date and is subsequently cancelled, the deposit will not be refunded.

3) Access to the venue to set up in cases of Friday and Saturday evening bookings is 6 pm unless there is a home game then it will be 7 pm unless otherwise agreed by the General Manager.

4) Colchester Rugby Club accepts all bookings on the basis that the venue supplies all food and drink, however, food is not compulsory to secure the booking.

5) All payments are due upon receipt of the invoice. Payments for the balance may be made in instalments with the final balance payable a minimum of a week before the event date.

6) Dates may be changed subject to availability and at the General manager's discretion.

7) Any belongings left at the venue are done so at the owner's own risk. Items may be kept in a safe place if agreed by the Manager.

8) In the instance of prices being increased, the price agreed upon at the time of paying the deposit will be honoured.

9) Whilst we do our utmost to alleviate potential allergy risks, there is always the potential that some products may have been in an environment that contains nuts outside of the venue. If guests have food allergies, it is the client's responsibility to inform us with plenty of notice of all dietary requirements and allergies. The venue accepts no responsibility for allergic reactions, therefore.

10) The behaviour of guests is the responsibility of the booking person and not that of the staff. Should any guests behave in an inappropriate and/or aggressive manner the Management will ask them to leave. This also includes smoking on the Balcony, property damage, abuse to staff or other guests and intoxication.

11) All guests are required to stay within their own Function room with the exception of toilet facilities, balcony (if in The Roman Lounge) and main entrance/exit where access is also to the designated smoking area, there may be other functions taking place in other rooms, therefore we ask this to ensure the safety and enjoyment of all guests.

12) In the unlikely event the venue has to cancel a booking they will endeavour to offer alternative rooms or dates and if not possible a full refund will be issued regardless.

13) Whilst cleaning of the venue post booking is covered by the Hire charge, the Management reserve the right to charge for excessive cleaning needed. See section 10, guests and their behaviour being the responsibility of the booking person.

14) Decorations may be put up with the General Manager's permission, however, Sellotape is forbidden, and white tac will however be considered in an appropriate place.

15) Please note that parking is free but guests must enter their vehicle registrations into the iPad located at the Main entrance on all weekdays to get free parking. Colchester Rugby Club accepts no responsibility for anyone who does not follow these protocols and subsequently receives a parking fine. It is not necessary to enter vehicle registrations on Saturdays and Sundays.

16) The venue has CCTV inside and out and may be used as evidence in the event of criminal damage or antisocial behaviour.
